Privacy Notice


Introduction

The purpose of this policy is to tell you what happens to your data when you use the virtual work experience platform. Barts Health NHS Trust have a full privacy notice with more information about who you can contact if you have concerns and your rights.


About the platform and the providers

Barts Health NHS Trust provide the virtual work experience platform. We work with Thinkific to make the technology available to access the courses. We work with Online Surveys (Jisc) to make the new users' survey available. The data they collect is on our behalf, and they will not use it for their own purposes. Barts Health have checked these companies to make sure they will keep your data safe. They use a mixture of security controls to do this which meets our security standards. 

Thinkific and Online Surveys (Jisc) will also collect same data from you such as using cookies on their site. This is for their purposes instead of ours. You can see these described on their own privacy policies:

Privacy notices change over time so that they reflect how your data is used. It's a good idea to look at them whenever you want to know what is happening with your data. 


What information do we collect and what do we do with it?

As part of the enrolment process you will need to create an account. We collect the personal information you give:

- First name and surname

- Email address

- County of residence

We will only use this data to administer the course. Administrative tasks include:

- sending automatic reminders about your progress;

- monitoring progress and completion of the course;

- informing you about changes to the course and;

- issuing a certificate of completion.

Any further communication we may have with you, for example answering any queries, will take place via email outside of the platform. 

We will ask you to complete a new user survey. We use Online Surveys (Jisc) to collect this data. The survey asks for sensitive data, for example your ethnicity. The survey data is anonymous which means we do not know who completed it. The survey data will only be accessible to Barts Health staff. 

While completing the survey we will ask for your email address so that we can identify which new users responded to our survey.  Your email address will only be used to send you information about our new courses, added resources or live virtual events. 


What legally allows us to use your data? 

The law requires us to have a 'lawful basis' to use the data we collect about you for various purposes. For this service, it is with your explicit consent. This is so that you have full control of how we use your data. 

During account creation we will ask for your consent to the data processing required to take part in our courses. You can withdraw this at any time if you change your mind by contacting us at [email protected]

You can also request for us to delete your account. 

If you have given us consent to use your email address to sign up to a newsletter you can withdraw this at any time by emailing [email protected]


Disclosure

We may disclose your personal information if we are required by law to do so or if you violate our Terms of Service.


Age of consent

If you are 13 years old or over and reside in the UK, you do not need permission from your parent/carer to create an account. If you reside in any other country please seek your parent/guardian permission before creating the account. You are not permitted to use this website if you are younger than 13 years old.
